Microsoft 365 Copilot FAQs

What is Microsoft 365 Copilot?

Microsoft 365 Copilot is an AI assistant built into the Microsoft 365 apps your team already uses, including Word, Excel, PowerPoint, Outlook and Teams. It works with your organisation’s emails, files, meetings and chats to help you draft content, summarise information, analyse data and find what you need faster. Copilot only accesses data each user already has permission to see, and your information stays within your Microsoft 365 environment.

How to use Microsoft Copilot

You use Copilot by describing what you need in plain language, either in the Copilot Chat app or directly inside apps like Word, Outlook and Teams. For example, you can ask it to summarise a long email thread, draft a proposal from an existing document, or list the action items from a meeting. The more context you give in your prompt (who it’s for, the tone and the format), the better the result. Referencing specific files, people or emails in your prompt also helps Copilot focus on the right information.

How to implement Microsoft Copilot

A successful Copilot rollout starts with your data, not the licences. Because Copilot can surface anything a user has access to, it’s important to review permissions and sharing settings in SharePoint, OneDrive and Teams first. From there, most businesses:

  • start with a pilot group
  • choose the roles and tasks where Copilot will add the most value
  • train users on practical prompting
  • track adoption before rolling out more widely

An experienced Microsoft partner like Sydney ICT can help with each stage, from readiness checks and licensing to security configuration and user training.

Can Microsoft Copilot create an Excel spreadsheet?

Yes. Copilot in Excel can clean data, write formulas, and create charts and PivotTables using plain-language prompts. With Agent Mode in Excel, Copilot can go further and build complete workbooks from a simple prompt, including financial models, budget trackers and reports. Agent Mode makes changes directly in the workbook and shows its plan as it works, so you can review and refine the results.

Can Microsoft Copilot take meeting notes?

Yes. In Microsoft Teams, Copilot can capture summaries, key discussion points and action items from meetings that are recorded or transcribed. You can also ask Copilot questions during a meeting, such as what’s been decided so far, which is useful if you join late. After the meeting, Copilot can turn those notes into a follow-up email, a document or a OneNote page.

What’s the difference between free Copilot Chat and Microsoft 365 Copilot?

Microsoft 365 Copilot Chat is included with eligible Microsoft 365 business plans at no extra cost. It’s a secure AI chat assistant grounded in web content. It can also work with files you upload or the document you have open, but it can’t search across your organisation’s data.

Microsoft 365 Copilot is a paid add-on licence. On top of everything Copilot Chat does, it securely connects to your work data through Microsoft Graph, including your emails, files, meetings, chats and calendar. That means Copilot can pull information from across your Microsoft 365 environment and combine it. You can also switch between Work and Web modes, depending on whether you want answers based on your organisation’s content or the internet.

The licence also unlocks deeper features across the Microsoft 365 apps, such as Copilot in Teams meetings (including recaps), Microsoft’s Researcher and Analyst agents, and agents included at no extra usage cost.

Many businesses start with Copilot Chat and add Microsoft 365 Copilot licences for the roles that will benefit most. Sydney ICT can help you work out the right mix for your team.
