New Haven Farm Home contacted Sydney ICT to transition away from their on-premises environment and move their core systems to Microsoft 365. By carefully planning and delivering the migration in stages, we were able to modernise their email and file systems, reduce reliance on ageing infrastructure, and provide a more accessible and scalable platform for staff.
New Haven Farm Home is a not-for-profit disability service provider delivering supported accommodation and lifestyle support across multiple sites.
With a growing team and a 24/7 care model, the organisation needed a reliable and easy-to-manage technology environment that could support staff across all locations. Their existing infrastructure was no longer meeting their requirements.
Whilst their traditional on-premises setup for email and file storage had served the organisation for some time, it was becoming harder to maintain and no longer aligned with how the business needed to operate. The infrastructure was approaching end-of-life, and continuing with a like-for-like replacement would have required significant investment, along with ongoing support and maintenance. In addition, the existing setup limited how easily staff across multiple sites could access systems and work collaboratively.
Given the nature of a 24/7 care environment, any disruption to communication or access to information could have a direct impact on operations. As a result, reliability, accessibility and continuity were key factors in deciding how to move forward.
Our team delivered a migration to Microsoft 365, bringing email, file storage and identity management into a unified cloud environment.
The transition focused on moving email services from Exchange Server to Exchange Online, alongside migrating file data into SharePoint and OneDrive to improve accessibility and collaboration across teams.
Rather than completing the migration in a single phase, the project was delivered in multiple stages to reduce risk and ensure continuity of operations. Email was migrated first, followed by file data, before refining access structures and completing user onboarding and support.
Sydney ICT maintained clear engagement with stakeholders and provided on-site support during key stages of the migration process. Support was provided to staff with varying levels of technical confidence, including hands-on assistance during the transition to help them adapt to the new system.
The move to Microsoft 365 resulted in a more reliable and accessible environment for staff across the organisation.
By removing the reliance on ageing infrastructure, New Haven Farm Home avoided the cost and complexity associated with hardware replacement, while also reducing the ongoing effort required to maintain systems.

From an operational perspective, staff now benefit from faster and more consistent access to emails and files, with the ability to securely work from any location. Not only has this made communication easier for teams across multiple sites, but they can also get the information they need without delay.
With around 85 staff now working within the Microsoft 365 environment, collaboration has improved, and communication between teams is more consistent. As well as this, the overall IT environment is easier to manage with fewer issues and reduced risk of needing reactive support.
